WHAT are Ad Hoc Statements and Rules?

Ad Hoc Statements are user-created sentences to which users assign rules. Rules define which data points will be included in the report results. Clients who meet each rule will be displayed after the report is run.

 

Each Rule is housed under one of six categories:

Categories:

Assessments - measure outcomes, movement, stagnation, or number and type of assessments given.

Custom Field - retrieves results for any of your organization’s custom fields

Demographic - retrieves results for any client demographic information

Financial - retrieves results for clients’ financial information

Goal Plans - retrieves results for any clients for which a goal plan has or has not been created

Services - retrieves results for any service given or not given. You have the option to select specific services given (Service Selection) or any service given (Service Wildcard).


Each Category contains multiple rules. These rules are different for each category.


In the example statement of “How many white women between the ages of 18-24 received a Primary Assessment and at least one service?”, let's first identify each reportable option:


How many [1] white [2] women between the [3] ages of 18-24 received a [4] Primary Assessment and at least one [5] service?


This statement has five reportable options, therefore, it must have five Rules applied:

  1. Demographic: Race = White
  2. Demographic: Gender = Female
  3. Demographic: Age range = 18-24
  4. Assessments: Assessment = 1 (assessment administered one time), Primary Assessment (which assessment was given)
  5. Services: Service Wildcard = no domain selected will include ANY service given.


If this statement were adjusted to say, “How many white women between the ages of 18-24 received a Primary Assessment and at least one food service?” the first four rules would remain the same. The fifth rule is slightly different because statement specifies querying for any service that is in the Food and Nutrition Domain. The Rule to capture this information would be Services: Service Wildcard = Food and Nutrition.


If this statement were adjusted again to, “How many white women between the ages of 18-24 received a Primary Assessment and at least one food voucher?” the Service Rule would be Services: Service Selection: “Food Voucher - Family Service”.



One final adjustment to this statement could be, "How many white women between the ages of 18-24 received a Primary Assessment and did not receive a service?” This Service Rule would be Services: Service Exclusion. This means the report will only include clients who satisfied the previous four rules AND who have not received a service.
